Lab Cocoa Terms and Conditions

These Terms and Conditions govern the use of Lab Cocoa’s website, mobile app, workshops, parties, events, and related services. By booking, attending, or using any Lab Cocoa service, you agree to these Terms.
1. About Lab Cocoa
Lab Cocoa provides chocolate-making workshops, children’s parties, events, and related products. Our aim is to deliver creative, enjoyable, and safe experiences for families and children.
2. Booking Policy
2.1 Workshop Bookings
• All workshops must be booked in advance.
• Full payment is required at the time of booking.
• A confirmation email or app notification will be issued once your booking is complete.
• It is your responsibility to ensure your contact details are correct so you receive booking information.
2.2 Party Bookings
• Party bookings may require a deposit of £50 (non-refundable) or full payment depending on
the package selected.
• Final details must be confirmed by the date specified during booking.
• Party bookings made online or via the app will be followed up by a member of the Lab Cocoa team to finalise arrangements.
Party payment deadline:
Full payment for party bookings is due 7 days before the event.
Party cancellation terms:
• If a party booking is cancelled before the 7-day payment deadline, the deposit is non-refundable.
• Cancellations made within 7 days of the party date cannot be refunded.
2.3 Website and App Booking Accuracy
• Lab Cocoa is not responsible for missed bookings caused by incorrect contact information entered by the user.
• Users must check all booking details before confirming.
• If you do not receive a confirmation, it is your responsibility to contact us.
3. Rescheduling and Cancellation Policy
Workshops
• Cancellations made more than 48 hours before a workshop may be refunded.
• Rescheduling requires at least 48 hours’ notice and is subject to availability.
• Cancellations made within 48 hours of the workshop cannot be refunded or rescheduled.
• Non-attendance is treated as a late cancellation and is non-refundable.
Parties
Party cancellation terms are outlined in Section 2.2 and apply to all party bookings.
4. Attendance and Supervision
4.1 Children
• All children must be accompanied by a responsible adult unless the workshop specifically states otherwise.
• Adults remain responsible for supervising their children at all times.
4.2 Behaviour
• Lab Cocoa reserves the right to remove any participant whose behaviour is unsafe or disruptive.
• No refund will be issued in such cases.
5. Health, Safety, and Allergies
• Lab Cocoa follows strict hygiene and food-handling standards.
• Parents or guardians must inform Lab Cocoa of any allergies, dietary needs, or medical conditions before attending.
• While precautions are taken, we cannot guarantee a completely allergen-free environment.
• Participation is at your own risk.
6. Liability
• Lab Cocoa is not responsible for loss or damage to personal belongings.
• Lab Cocoa is not liable for injuries resulting from misuse of equipment or failure to follow staff instructions.
• By attending, you acknowledge that chocolate-making involves handling food items and equipment.
7. Shop Purchases
• Purchases of chocolate kits, merchandise, and products are final unless the item is faulty.
• Faulty items may be returned or exchanged in accordance with consumer rights.
8. Use of the Lab Cocoa App and Website
8.1 Account Information
• You must provide accurate information when creating an account.
• You are responsible for keeping your login details secure and up to date.
8.2 Notifications
• By using the app, you may receive notifications about bookings, reminders, and new workshops.
• Notification settings can be adjusted at any time.
8.3 Website and App Availability
• Lab Cocoa aims to maintain continuous access to the website and app but cannot guarantee uninterrupted availability.
• Maintenance, updates, or technical issues may temporarily affect access.
9. Photography and Media
• Lab Cocoa may take photos or videos during workshops for promotional use.
• If you do not wish for yourself or your child to appear in media, please inform a staff member before the session begins.
10. Changes to Services
Lab Cocoa may update workshop content, pricing, schedules, or policies at any time. Significant changes will be communicated through the website, app, or email. Changes will not affect confirmed bookings unless required for safety or operational reasons.
11. Privacy
Your privacy is important to us. Please refer to the Lab Cocoa Privacy Policy for details on how we collect, use, and protect your information.
12. Returns & Refunds Policy (Chocolate Products & Merchandise)
This Returns Policy applies to all Lab Cocoa chocolate products, workshop kits, and merchandise purchased in-store, online, or via the Lab Cocoa app.
12.1 Edible Chocolate Products
Due to the nature of fresh, handmade food items, Lab Cocoa cannot accept returns of edible products once they have left the workshop.
However, we will offer a replacement or refund if:
• Your order arrives damaged
• The wrong item is received
• There is a quality issue with the product
Customers must contact us within 48 hours of receiving their order and may be asked to provide photos to help us investigate.
12.2 Merchandise (Non-Edible Items)
This includes clothing, accessories, workshop merchandise, and gift items.
You may request a return or exchange if:
• The item is unused and in its original condition
• You contact us within 14 days of receiving the item
Refunds are issued once the item has been returned to us.
Return postage is the customer’s responsibility unless the item was faulty or incorrect.
12.3 Faulty or Defective Items
If any product arrives damaged, faulty, or not as described, Lab Cocoa will replace or refund the item at no cost to you.
Customers must provide:
• A brief description of the issue
• A photo (if applicable)
• Their order number
12.4 Workshop Kits & Make-At-Home Sets
Workshop kits follow the same rules as edible items:
• No returns once opened
• Refunds or replacements offered for damaged, missing, or incorrect components
• Issues must be reported within 48 hours of delivery
12.5 Missing Deliveries
If your parcel has not arrived:
• Check tracking information
• Check with neighbours
• Contact us within 7 days so we can investigate and replace if necessary
